Addressing employee misconduct is uncomfortable at the best of times, but with the right tools and an action plan, it is possible to turn the situation around. Take control of employee discipline with the Progressive Discipline Smart App.
Permissions:
The application comes with permission levels for Administrators Managers/Supervisors.No employee can view their own warning notices.
- Admins: An employee with Administrator permissions can view and create warning notices for all employees
- Managers/Supervisors: Can only view and create warning notices for their direct reports. No employee can view their own warning notices.
Create a Warning Notice:
Warning notices can be started from any page in the Progressive Discipline application. After selecting the employee for which to create a warning notice, the form is then pre-populated with that employee’s information. There are sections on the form to allow a user to document the violation that occurred, actions to be taken now and in the future if the violation was to occur again, and the conversation with the employee. Many times the process of documenting a warning takes several iterations, so the form can be saved along the way. Once all the required sections have been finished and it is signed and dated by the manager, the form can be marked complete. The form is also responsive so the form can easily be completed on screen sizes small or large.
Viewing Employees Other Warning Notices:
When completing a warning notice for an employee, it is sometimes necessary to review one of the employee’s previous warning notices for documentation purposes. While completing a warning notice users can quickly and easily hop back and forth from to the employee’s other warning notices for reference.
Adding Files to a Warning Notice:
Sometimes when issuing a warning there is additional documentation to show proof that a violation has occurred. Whether is a time sheet that shows repeated tardies or an image showing damage to company property, additional documentation can be uploaded to a warning notice to keep everything related to the warning centralized. Files can also be deleted if necessary.
Link Warning Notices Together:
Sometimes warnings that occur are part of a pattern of behavior. When completing a warning notice, warnings can be linked together to illustrate this pattern of abuse or behavior.
Warning Notice History:
Whenever the warning notice is modified, a log of the action, user and time is documented in the warning notice history. This history tracks when the warning notice, files, linked warning notices, or status have been modified.
Warning Notices Grid:
The warning notices grid displays all warning notices that have been issued. The grid displays:
- Employee’s name
- Violation type
- Violation description
- Warning notice status and when the warning notice was created.
The employee search allows a user to quickly find warning notices for a particular employee. There are additional filters for Violation Type, Warning Notice Status and Employee Status to help a user find the warning notices they are looking for quickly. The default filter shows all warning notices that are In Progress so that users know which ones still need to be completed.
Progressive Discipline Resources:
The application comes with additional resources for users to understand the purpose of the app:
- How to use the application,
- Relevant Laws when Disciplining Employees,
- Record Keeping requirements.
- Blank Warning Notices can also be printed from this page.
Printing Employee Warning Notices:
When completing a warning notice for an employee, the form can be printed for review with the employee. Printing with an employee signature line is optional so that the employer can obtain the signature during review. Additionally, businesses can print blank Employee Warning Notices for offline use.
